BillSync

Vendor PDF invoices into Zoho Books bills. pdfplumber first, PaddleOCR for scans. rapidfuzz matching that learns mappings. Flags price and MRP changes. A human confirms before anything posts.

FastAPIReactMongoDBDockerZoho OAuth2

The problem

Vendor invoices arrive as PDFs. Someone has to type every line item into Zoho Books as a purchase bill.

How it works

  1. Extract. pdfplumber reads text-based PDFs. Scanned ones go to PaddleOCR instead.
  2. Match. rapidfuzz suggests the matching Zoho item for each vendor product. Confirmed matches are saved, so the next invoice matches on its own.
  3. Check. Prices and MRP are compared with history, and changes are flagged.
  4. Confirm. A person reviews everything in a React UI before a bill is created.

Design

  • Zoho Books stays the source of truth, connected over OAuth2.
  • MongoDB only caches mappings and price history.
  • Runs with Docker Compose.

Built with FastAPI, React, MongoDB and Docker.
